Odoo CRM is the app where a sales team keeps every lead, opportunity and follow-up in one pipeline instead of in inboxes and spreadsheets. Odoo's documentation describes it as a way to track leads, close opportunities and produce forecasts, with activities as the daily to-do list. A pipeline only helps if people use it, so this guide covers the setup and the choices that decide adoption. It follows the Odoo 19.0 documentation, so screens may differ in 20.0.
In short
Odoo CRM shows opportunities as cards that move through stages in a Kanban pipeline, and each card carries its next step as an activity.
Leads are an optional qualification step before an opportunity. Switch them on only if someone will qualify them.
Keep the stages few, name an owner for every card and plan an activity on each open card.
Leads can arrive by team email alias, website form, mailbox plugin or manual entry. Lead mining and enrichment are optional paid services.
Quotations start from the opportunity once the Sales app is installed, and the Forecast and Pipeline reports show the result.
What is the difference between a lead and an opportunity in Odoo CRM?
In Odoo's words, leads act as a qualifying step before a formal opportunity is created, giving you time to review a prospect before it is assigned to a salesperson. An opportunity is the deal itself, with an owner, a stage, an expected revenue and a probability.
Leads wait for a first review; opportunities are the deals your salespeople work through the pipeline.
Leads are a setting: go to CRM ‣ Configuration ‣ Settings, tick Leads and save. A Leads menu appears and the setting applies to every sales team unless you clear it for one in CRM ‣ Configuration ‣ Sales Teams. To convert a lead, open it under CRM ‣ Leads, click Convert to Opportunity, optionally pick a salesperson and team, and create or link the customer. With Leads off, email aliases and website forms create opportunities directly.
A small team where whoever receives an enquiry also works it can skip leads. Turn them on when a coordinator screens enquiries first. A Similar Leads button flags records with the same email address or phone number, and merging keeps the record created first.
How should you design pipeline stages?
Stages are the columns of the Kanban pipeline. Odoo's stages page says the Stages menu under Configuration needs developer mode, stages can be reordered by dragging, and a stage can belong to one or several teams. Name each stage after something that happened with the buyer, and write down the rule for leaving it.
Stage (example)
The card moves here when
New
The enquiry is logged and has an owner
Qualified
The need, the decision maker and a rough timeline are confirmed
Proposal sent
A quotation has gone to the customer
Negotiation
The customer replied and terms are being discussed
Won
The customer accepted
These names are an example, not an Odoo default. Four to six stages suit most teams.
Two documented settings help. Days to rot turns a card red once it has sat in a stage past a threshold you set. Folded in Kanban hides the cards of a closing stage, and Odoo warns that cards in a folded stage count as closed, so use it only for Won or similar.
How do activities and reminders keep deals moving?
An activity is a follow-up task attached to a lead or opportunity. The CRM activities page lists the preconfigured types: Email, Call, Meeting, To Do and Upload Document. You can add types under CRM ‣ Configuration ‣ Activity Types, and activity plans under CRM ‣ Configuration ‣ Activity Plans schedule a whole sequence at once.
Odoo advises marking an activity Done as soon as you act, so the next one can be planned. It tracks due dates and emails reminders to the assigned user. In the activity view, green means a future date, orange due today and red overdue. The unattended leads report lists leads with due or overdue activities, a good Monday-morning page for a manager.
Where do leads come from?
Source
How it works
Team email alias
Set an Email Alias on the sales team and choose who may write to it. Each email creates a lead, or an opportunity if Leads is off
Website form
Set the contact form action to Create an Opportunity and pick a sales team. It needs the Website app
Manual entry
Create a lead, or an opportunity card with expected revenue and a star priority
Mailbox plugins
Odoo's Outlook and Gmail plugins can create leads from emails and are free to install
Appointments
An appointment type can create an opportunity from each booking. Our edition guide lists that app as Enterprise
Lead mining
Generates leads by country, industry and company size. It is an In-App Purchase service at one credit per lead
Lead enrichment is a second paid service: it adds company information from the lead's email domain, at one credit per lead. Both are optional, and Odoo notes that data-protection rules such as the GDPR apply to contact data, so check yours. Meetings link to the Calendar, and Odoo documents synchronisation with Google Calendar and Outlook Calendar. If you also run an online shop, the Odoo eCommerce guide covers the website side.
How do you assign leads to teams and salespeople?
A sales team, created under CRM ‣ Configuration ‣ Sales Teams, has a leader, members, an optional email alias and, with the Sales app installed, an invoicing target. The Multi Teams setting lets one person belong to several teams.
Rule-based assignment is optional. Enable it in the CRM settings, choose manual or repeated runs, and give each team or member a domain such as Probability greater than or equal to 20. Odoo's documentation explains the daily cap: a member's capacity, in leads per 30 days, is divided by 30, so a capacity of 120 means four leads a day and extra leads may stay unassigned. Pause assignment stops automatic assignment for one person, who can still receive leads by hand.
The probability comes from predictive lead scoring, which Odoo describes as a machine-learning model trained on the opportunities you have won and lost. The documentation says it is always active, lets you choose variables such as country, source and tags, and allows a manual override. A team with few deals can assign by hand at first.
How do you go from opportunity to quotation, and forecast the result?
From opportunity to quotation
Open the opportunity and click New Quotation. The button appears only when the Sales app is installed, and the customer must be linked before the quotation is sent. Odoo's quotation page walks through the form and Send by Email with a PDF attached, and the Sales app documentation covers the rest. Confirmed quotations move from the opportunity's Quotations button to its Orders button.
Then mark the result. Won moves the card to the Won stage. Lost opens a window for a Lost Reason and a Closing Note, and Odoo recommends consistent reasons from CRM ‣ Configuration ‣ Lost Reasons, because free text makes analysis harder.
Forecasts and reports
CRM ‣ Reporting ‣ Forecast groups open opportunities by expected closing month, shows four months by default and lets you drag a card to another month. Its prorated revenue is the expected revenue multiplied by the probability. CRM ‣ Reporting ‣ Pipeline offers graph, pivot, cohort and list views, and CRM ‣ Reporting ‣ Leads supports source analysis. A forecast is only as honest as the Expected Revenue and Expected Closing fields.
How do you do a first setup, step by step?
Write the process. List the stages with exit rules and decide whether you need leads.
Install the apps: CRM, then Sales for quotations and Website for forms.
Set the CRM settings. Tick Leads only if you decided to use them.
Create the sales team with a leader, members and an email alias.
Edit the stages. Activate developer mode, open Configuration ‣ Stages, rename and reorder them, and set Days to rot.
Write five to eight lost reasons.
Add an activity plan for new enquiries.
Connect the sources and test the alias and the website form with your own messages.
Load only open deals, each with an owner, a stage, an expected revenue and a next activity.
Train for twenty minutes on moving a card, planning an activity and marking Won or Lost, then review the pipeline together weekly.
Which adoption mistakes make a CRM fail?
Too many stages. Ten columns mean ten decisions per card, and people stop moving them. Merge stages without a distinct exit rule.
No owner per lead. A card without a salesperson is nobody's job. With rule-based assignment, watch for leads left unassigned when capacity runs out.
No next activity. A card without a planned activity cannot go overdue, so the manager's report never shows it.
Leads nobody qualifies. The Leads feature adds a step, and enquiries wait there if no one owns it.
Free-text lost reasons, and duplicates left to pile up.
Customising first. Run the standard setup for a month, and read how to choose an Odoo module before buying an add-on.
Frequently asked questions
Is Odoo CRM free?
Our edition guide lists CRM among the Community apps, so there is no licence fee there, while Enterprise is paid per user. Lead mining and enrichment use prepaid credits. How much Odoo costs explains the rest of the bill.
Do I need the Leads feature?
No. It is an optional setting. Without it, enquiries become opportunities straight away.
Can I use Odoo CRM without the Sales app?
Yes for tracking, but the New Quotation button only appears when the Sales app is installed.
Does Odoo CRM work in Arabic?
Odoo can run in Arabic, as what Odoo is explains. Test your pipeline screens and email templates in Arabic first.
Next steps
Draw your stages on paper, name an owner for each, and build the pipeline in a test database before you invite the team. If you are still deciding on the wider system, read the Odoo implementation guide. When a standard feature is missing, browse Odoo modules.
Compare the three Odoo hosting options from Odoo documentation: what each allows, who runs what, which editions fit, where data sits, what costs to expect and how to move between them.
An Odoo implementation is a project, not an installation. Follow the phases from scope to go-live, see who does what, decide between a partner and doing it yourself, and use a go-live checklist.
Odoo Studio changes Odoo without code; custom modules add code. See what each can do, which edition and hosting allow them, what upgrades mean for both, and how to decide by need.
